COMSEP 2020 Annual Conference – Canceled

Hello COMSEP Members and Registered Attendees,

Over the last week, COMSEP has been actively monitoring the developments related to the novel coronavirus and the emerging developments within the United States and Canada. After careful review of the current landscape, including engagement with other medical educational societies and federal health officials, the fast-growing number of member institution’s bans on travel, and thoughtful deliberation with COMSEP leadership, we have made the very difficult decision to cancel our meeting.

We want to recognize and thank so many of our members and constituents for the work, dedication, and planning efforts that went into this conference, in particular, the COMSEP Annual Meeting Planning Committee Chairs, Corki Lehmann and Rebecca Tenney-Soeiro, committee members, Susan Bannister, Amy Creel, Anton Alerte, Caroline Paul, Chris Peltier, Jen Plant and Liz Scott, and Host Committee, Chris Peltier, Corki Lehmann, Amy Guiot and Mimi Pence . Your dedication does not go unnoticed.

While this decision was not taken lightly, the health and wellbeing of our membership, constituents, staff and the patients you care for are vital. As the number of institutions that have placed travel bans on their faculty continues to increase,  we recognize the need for you to be at your home institutions.

The cancellation of this meeting will be costly to COMSEP from a financial perspective.  Due to the cancellation, COMSEP will refund registration fees in full in the original form of payment, unless you kindly indicate you are not requesting a full refund. You will receive a registration cancellation confirmation in a separate email early next week.

Please continue to send to us any institutional travel bans which will help us try to reduce our liability to the hotel and vendors.

IMPORTANT: You will need to cancel your hotel and airline reservations directly. The hotel has put a 24-hour guest cancellation policy in place for our group block (they reduced the time thankfully). Please ensure you cancel with the hotel online or by phone within 24 hours to not incur any charges. Please reference your confirmation email for instructions on how to cancel online.

COMSEP thanks you for your patience and understanding while COMSEP leadership took the necessary time to thoroughly evaluate the rapidly evolving and complex situation.  We are all disappointed but will regroup.  More to follow early next week.  Sending a virtual hug.
